Clerical Assistant – Residential Life

Job Summary:  The Clerical Assistant provides general administrative and clerical support for the Department of Residential Life. The primary purpose of this position is to provide a full range of moderate to complex clerical and secretarial assignments involving the use of judgment and discretion. Projects are of moderate scope and complexity, such as completion of small to medium sized projects. Day to day work is performed relatively independently with general instruction, except for new assignments.

Duties and Responsibilities:

  • Provide a wide variety of general office support including electronic and manual file maintenance, type correspondence, prepare and track travel claims, order supplies, sort and distribute mail
  • Serve as department administrative assistant; answer phones, make appointments, provide initial attempt to resolve student and faculty complaints; refer more complex issues to the appropriate office
  • Create and modify documents using Microsoft Office
  • Create and manage electronic requisitions through PeopleSoft
  • Assist Housing Assignment Manager with housing assignments as needed
  • Provide information to students and community clients regarding services and policies
  • Prepare a wide variety of correspondence in final form and free of technical, spelling and grammatical errors
  • Manage ADP timesheets for student workers
  • Prepare information packets that will be distributed to future or returning students
  • Review incoming mail and correspondence for proper routing
  • Process standard and electronic mail
  • Schedule and arrange meetings, events, and lunches
  • Keep the calendar and makes travel arrangements for department
  • Order and maintain supplies
  • Update databases
  • Troubleshoot office technology problems & systems
  • Train, schedule, supervise, and distribute work to occasional students, casuals, and temporary workers
  • Perform other duties as assigned


  • Associates degree required, Bachelor’s degree preferred
  • At least three years of clerical experience in an academic or professional setting
  • Superior communication and customer service skills
  • Experience and proficiency in Microsoft Office
  • Experience with Banner and StarRez Housing a plus
  • Good communication skills (verbal, written, and listening)

Knowledge, Skills, and Abilities:

  • Ability to exercise independent judgment and make decisions based on established policies and procedures in supervisor’s absence
  • Ability to manage heavy workload of two administrators and to prioritize projects as needed
  • Excellent organizational skills and keen attention to detail and accuracy
  • Ability to make sound judgments and work independently
  • Ability to handle complex and confidential information with discretion
  • Ability to positively interact with students, parents, alumni, administration, faculty, staff, and the general public
